Booking Policy

At Whistler Wings Aviation, we understand that plans can change. Please review our booking and cancellation policy below before booking your tour or charter.

Deposits

All tour and charter bookings require a non-refundable online deposit at the time of booking to secure your reservation. This deposit will be applied toward the total cost of your flight.

Cancellations by You

  • 7+ days before your scheduled flight: Full refund of any payment beyond the deposit. Deposit is retained as a credit toward a future booking, valid for 12 months.

  • 48 hours–7 days before your scheduled flight: 50% of the remaining balance (beyond the deposit) is refundable. Deposit is non-refundable.

  • Less than 48 hours before your scheduled flight: No refund. Full payment is forfeited.

  • No-shows: No refund.

Weight & Medical Restrictions

For safety reasons, all aircraft are subject to strict weight and balance limits, and passengers must meet certain fitness-to-fly requirements. If Whistler Wings Aviation determines — at check-in or prior to departure — that one or more members of your group are unable to fly due to weight limits or medical/fitness concerns, the following applies:

  • Remaining group members who are cleared to fly may proceed with the tour or charter as scheduled, where aircraft capacity allows.

  • Any portion of the payment attributable to the affected passenger(s) is non-refundable, as aircraft capacity is reserved in advance based on declared passenger weights.

  • We strongly encourage all guests to provide accurate weight information at the time of booking to avoid last-minute adjustments, rescheduling, or additional charges.

  • If the affected passenger(s) prevent the flight from proceeding entirely (e.g., total weight exceeds aircraft limits with no alternative arrangement), standard cancellation terms above will apply to the full booking.

Weather & Operational Cancellations

Flight safety is our top priority. If Whistler Wings Aviation cancels or postpones your flight due to weather, mechanical issues, or other operational reasons, you will be offered the choice of:

  • A full refund (including deposit), or

  • Rescheduling to a future date at no additional cost.

Rescheduling

Need to change your date instead of cancelling? We're happy to accommodate rescheduling requests made at least 48 hours in advance, subject to availability, at no extra charge. Requests made within 48 hours will be treated as a cancellation under the terms above.

Group & Private Charter Bookings

Private charters and group bookings may be subject to a customized cancellation policy outlined at the time of booking, due to the dedicated aircraft and crew reserved for your flight.

Additional Terms

Waiting Time
First 30 minutes included. Additional wait time billed at $90/hour + GST.

Billing
Billed in 0.5-hour increments.

Passenger Weights
Required prior to flight for weight & balance calculations.

Baggage
Baggage space and weight may be limited depending on aircraft and passenger load.

Pilot Authority
Final passenger count and load configuration is subject to pilot approval for safety reasons.

Fuel Surcharge
A fuel surcharge may apply if fuel prices increase substantially.

Overnight Fee
Assessed on a case-by-case basis for charters requiring aircraft or crew to remain overnight.

How to Cancel or Reschedule

Please contact us as soon as possible at (604) 818-2663 or email info@whistlerwings.com to cancel or reschedule your booking. Cancellation requests are only valid once confirmed in writing by our team.
